A ship management company acts as the professional "arm" of a shipowner, handling the day-to-day operations and technical maintenance of their vessels. Their core mission is to ensure ships are safe, efficient, compliant, and profitable.
The work is broadly divided into four key departments:
1. Technical Management
This is the engineering heart of the operation.
Maintenance & Repairs: Plans and executes routine maintenance, dry-docking, and repairs to keep the ship in class and in optimal condition.
Procurement: Sources and purchases everything from massive engine parts to daily supplies (spares, lubes, chemicals), negotiating with suppliers globally.
Class & Surveys: Ensures the vessel meets all the rules and regulations set by classification societies (e.g., DNV, Lloyd's Register) and flag states.
2. Crew Management
The human resources department for the ship.
Recruitment & Hiring: Finds, vets, and hires qualified seafarers (captains, engineers, deck ratings, etc.) from around the world.
Training & Certification: Ensures all crew members have the necessary, valid certificates and provides additional training for safety and compliance.
Payroll & Welfare: Manages salaries, travel arrangements (crew changes), and ensures the well-being of crew on board.
3. Commercial Operations (for some companies)
If tasked by the owner, they can also handle the business side.
Chartering: Finds cargoes for the ship and negotiates contracts with charterers.
Bunkering: Procures fuel (bunkers) at the best possible price and quality.
Freight Collection: Manages the invoicing and collection of payment for transporting the cargo.
4. Safety & Compliance
The regulatory watchdog.
Safety Management System (SMS): Implements and maintains a strict safety and environmental protection policy as required by international law (ISM Code).
Regulations: Stays updated on all international maritime laws (e.g., SOLAS, MARPOL) and ensures every vessel complies with them.
Audits & Inspections: Prepares for and manages audits from port states, flag states, and oil major vetting inspections.
The Continuous Cycle:
The process is a continuous loop of Plan -> Do -> Check -> Act:
Plan: Create maintenance schedules, procurement plans, and crew rotations.
Do: The crew on board executes the plans, performs operations, and maintains the ship.
Check: The shore-based superintendents monitor performance, review reports, and conduct audits.
Act: Address any issues, update plans, and implement improvements for the next cycle.
In essence, the ship management company is a one-stop-shop that allows shipowners to own assets without needing the large, specialized infrastructure to run them, ensuring their investment is protected and operated effectively.
